Do something
Every month
Write to HR
Goes to the HR helpdesk as a ticket; the reply comes to your e-mail. Put your vendor code in the message. Never send ID numbers, bank numbers or passwords here.
Your fee, worked out
Same rules as your Agreement and the Portal: retainer in INR, daily fee = retainer ÷ 30, the Attendance and Quality components outside India, service credits capped at INR 6,000 a month. An illustration only; the Portal's invoice is the record.
Your invoice, line by line
The fee lines
Retainer is your monthly fee in INR from Schedule A. In India it is one line. Outside India it shows as Base fee (86% by default), Attendance component (7%, earned with no missed day, no short session and at most 1 non-service day declared 48 hours ahead; an emergency day with proof does not count) and Quality component (7%, earned when the month has no documented complaint and no presence mark). A component not earned shows as 0; it is never taken out of the base fee.
The reductions
Days not delivered: the daily fee (retainer ÷ 30) for each scheduled day not served, half for a late or short session. Service credits: INR 2,000 for a day missed without 48 hours' notice, a documented complaint, or a presence mark, capped at INR 6,000 a month. Set-off: anything you owe under the Agreement (a transition charge, liquidated damages) is shown line by line.
Tax and the amount that reaches you
India: TDS under section 194J (10%) is deducted and Form 16A follows each quarter. Outside India: no tax is deducted in India where the tax treaty allows; your country's taxes are yours. The INR amount is sent from India by the method in your Schedule A; every transfer, correspondent, conversion and receiving charge is yours, so what lands is the INR amount converted on the day, less those charges.
A disputed day
Raise it in the Portal within 3 days of the invoice, with your reason. HR decides on the service log and the client's record and tells you in writing. An invoice neither approved nor disputed in 3 days is treated as approved.
